Editing Scheduled Meetings
Start the Meeting Wizard
You can start editing a scheduled meeting, adding more attendees or changing the meeting time, 2 ways:
In the Home tab, in My Meetings at the lower left, click on the meeting.
In the room, click on Invite, then See who has access…
…then in the invitation list, click the Edit icon for the meeting.

Adding Invitations to the Meeting
The Invitation Wizard will show a list of all the currently invited people. To add people, type in their email addresses, comma separated. Click Next.
Changing the Meeting Time
Here, you can edit the scheduled meeting time. Click Next.
In the final screen, clicking FINISH will save the scheduled meeting information and re-email everyone who was scheduled to attend.

User Roles/Permissions
You can assign different people different types of access. Some may edit, while others can only view:

- Moderator – like an Owner, they have access to everything except the Room Settings
- Collaborator – can draw, edit, delete their own content, and change Sync Mode. They can’t delete pages, change other’s content or change other’s permissions.
- Reviewer – like a Collaborator, except they can’t import any media, such as images or documents, into a room.
- Viewer – can’t edit or change anything.
- With Sync Mode ON, they are locked onto the currently sync’d page, and cannot navigate.
- With Sync Mode OFF, they can navigate pages as they wish.
Why can viewers navigate when Sync Mode is OFF?
- When giving a presentation, Sync is usually ON so that everyone will follow you from page to page.
- When using Vyew for document review or collaboration, when you may or may not be present, Sync is usually OFF to allow collaborators to browse as they need.
Assigning Roles to New Invitees
For most invitations, assign invitee’s permission levels in the invite wizard. See Inviting and Sharing Rooms.
Changing Roles of Current Attendees
In the UserList pod near the upper right of Vyew, click on their username, Change user type to:, then on the desired level.
Different user roles have different interfaces
The lower the permission status of a user, the simpler their interface will be, since certain functions will not be available.
For example, a Collaborator has access to the drawing tools, Insert button, Page Manager and Screen Share tab,

while a Viewer will not:
Why are some invitees required to login to a meeting?
By default, people who are invited to Vyew do not need to login or register.
BUT, there is an option in the Invites menu: “Users can forward invite”
If this option is UNCHECKED, then we will require users to login or register to enter the meeting.
UPDATE 6/29/09:
If you are using SCHEDULED INVITE, and your users are still being asked to login. This is a bug in the software and we are working to fix this asap.
Inviting people with a Direct URL
Instead of using the Vyew Invitation Manager, you can also email people the URL of the Vyew Room, e.g.:
http://vyew.com/room#/12345/yourRoomName
.
Setting Access Control: Open To Anyone
To allow users to come in directly to a Vyew Room without needing an invite, set the “Room Access” to “Anyone with the link:”.

You can then set the permissions level of the users who enter your Vyew Room through the direct URL:
They can view – to limit their access to just viewing. (A Viewer.)
They can draw / comment – to allow them to view, markup, and comment on content. (A Reviewer.)
They can draw / comment and upload – to allow them to review and upload content. (A Collaborator.)- Click on “More Options” to be able to assign users Moderator privileges.

How to set a password on a Vyew Room
Set the “Room Access” to “Private – only invited users”, then check “or people with this password:” and enter your room’s password in the box.

How Sync Mode affects Viewer Permissions
You should also be aware that a book’s Sync Mode affects whether a Viewer user role can navigate or not. Please read this section: “How Sync Mode affects Viewer Roles“.
Inviting and Sharing Rooms – Overview
Three types of invitations
- Open Access – Allow a user anytime, until you un-invite them. Usually for asynchronous collaboration.
- Timed Access – Allow a user immediately, for a limited time. Usually for synchronous collaboration.
- Scheduled Access – Allow a user access only during a specific time. Usually for presentations.
Starting the Invite Wizard
Two ways:
- From Home, click the Invite link next to the Room name.
From a room, click on Invite in the Vyew bar, then Invite People….

- To: – Email(s) where the invitation(s) will be sent.
- Message: – Optional message to attendees.
- Include Conference Call Number – Include your meeting’s free conference call number and extension.
- Send me a confirmation email – Send yourself a copy of the invitation.

When should they have access to this room?

- Anytime – Open access. Recipients may access your room immediately, and anytime, even in your absence.
- Starting from now – Timed access. Recipients may access your room immediately, for a limited time.
- Scheduled meeting – Recipients may access your room at a specified time, for a limited time.
- Send a reminder – Schedule a reminder email before the meeting.

Invitee Options
- For open and timed access invitations :
- What is their role? – What permissions the user has inside the room.
- Allow users to share with others?
- Yes – The user can forward their invitation to someone else.
- No – To prevent a user from forwarding their invite, we force them to register. This may be inconvenient for some, and may expose their email to other users.
- More Options
- User can make a copy of the Room – User can copy the entire room into their own Vyew Room collection.
- Notify me when they enter the Room – You will get an email when this user enters the Room.
- For scheduled meetings:
- Can attendees navigate from page to page? – Turns sync mode on or off.
- For open and timed access invitations :
Managing Existing Invitations

- Under Invited Users you can modify, resend, or delete an open or timed access invitation.
- Clicking on the Scheduled Meeting bar, you can modify invitees, or the meeting itself.
