User Roles/Permissions
- Moderator – like an Owner, they have access to everything except the Room Settings
- Collaborator – can Draw, edit, delete their own content can change Sync Mode. They can’t delete pages or change the permissions of others.
- Reviewer – a special case user that can only be assigned when inviting that person. They are just like a Collaborator, except they cannot import any media, such as images or documents into a room.
- Viewer – can’t edit or change anything. They may be able to navigate to different pages depending on Sync Mode:
- Sync Mode ON – They cannot navigate. They are locked into whatever the currently sync’d page is.
- Sync Mode OFF - They can navigate to any page they want.
Why can a Viewer navigate when Sync Mode is OFF?
When you are giving a presentation, we expect you to have SYNC Mode ON, so that everyone will follow you from page to page.
When you are using Vyew for reviewing of a document or some other type of “asynchronous” activity in which Viewers may be in your Room without you present, then it is ideal that they should be able to browse as they wish.
Assigning Roles to New Invitees

Changing Roles to those in a VyewBook

The Userlist
In the userlist pod (upper right corner of the VyewBook), click on their name to change their permission status.
Are users distracting the meeting?
If you have a large meeting, where users might be inclined to distract the meeting by drawing or playing with other features, it is recommended that you demote everyone to a Viewer. You can demote everyone at once with the Userlist Menu (the tool icon in lower right).
The viewer role, can only watch and chat. Also viewer’s do not broadcast their mouse cursor to the meeting, like collaborators, moderators and owners do. This will help minimize distractions during the meeting.
Different user roles have different interfaces
The lower the permission status of a user, the simpler their interface will be, since certain functions will not be available. For example, a Viewer will not see any drawing tools.

- Viewers will not see these buttons.

Why are some invitees required to login to a meeting?
By default, people who are invited to Vyew do not need to login or register.
BUT, there is an option in the Invites menu: “Users can forward invite”
If this option is UNCHECKED, then we will require users to login or register to enter the meeting.
UPDATE 6/29/09:
If you are using SCHEDULED INVITE, and your users are still being asked to login. This is a bug in the software and we are working to fix this asap.

Inviting people with a Direct URL
You can email people yourself with a direct URL to your VyewMeeting. When you enter into a VyewBook, look at the browser URL address bar. The url would look something like this:
Your VyewBook URL:
http://vyew.com/room#/12345/yourVyewBookName
For simplicity, you can eliminate the “room#” part:
http://vyew.com/12345/yourVyewBookName
Important
Your access control must be setup correctly for this to work. The room must be set to “Open to Anyone“
Access Control and Default User type

Each VyewBook meeting has its own “Access Control” settings which are accessable in the UserList, or in the
“BOOK menu > VYEWBOOK SETTINGS” area.
In order to allow users to come in directly to a VyewBook without being invited, set the “VyewBook Access” to “Open to Anyone”.
When a user enters the VyewBook this way, they will be assigned the user role of the Default User Type.
- Set the Default User Type to Viewer – to limit their access to just viewing
- Set the Default User Type to Collaborator – to allow them editing, drawing, and uploading privileges.
How Sync Mode affects Viewer roles
You should also be aware that whether a book is set to Sync Mode affects whether or not Viewer roles can navigate or not. Please read this section: “How Sync Mode affects Viewer Roles“.
