Overview of Communication Options (Conf. call vs. VOIP)

Vyew provides 3 options for communication during a Vyew Meeting:

  • Conference Calling - Each participant dials in with their own landline or cell phone
  • VOIP (Push To Talk) - Each user uses their computer mic/speakers/headset to speak/listen to eachother
  • Chat - Built-in text chat

Conference Calling

This option is suitable for all situations, except when users do not have access to a phone.
It can support hundreds of callers, and has options to mute people.
The downside is, it is not a toll-free call, so standard long distance tolls from your phone company may apply (although most cell phone users will already have free long distance).

VOIP (Push To Talk)

The VOIP system only allows one person to talk at a time. Once that person is done talking, the next person can push the “Push To Talk” button to speak.
This eliminates annoying feedback echoes and allows for higher voice quality since only one voice signal is transmitted at a time.  This is called “uniplex”, as opposed to normal phone conversations where two people can speak at once (duplex).

When to use VOIP instead of a Phone conference
VOIP is nice because people don’t have to dial a phone number, they can just instantly speak. But, since the VOIP option is Uniplex, it is not very useful when more than 4 or 5 people want to have a conversation. For this, use the Conference Calling option.
VOIP is also a good option if just 2 or 3 people are speaking to 10, 20 or 30 other people (who will not be speaking), for example, in a “Webinar.”
You can deny people access to the mic (so they only can hear), by making them a “Viewer” user permission level.

When NOT to use VOIP
If you or your users are experiencing slow internet / bandwidth issues. The voice may then, sound choppy.
When you have more than 3 or 4 people that want to converse at the same time.
If some users do not have speakers, they will not be able to hear the VOIP speakers.

Can VOIP and Conference Callers be linked?

No, users who are only listening to VOIP can hear the Conference call, and vice versa.
Although we have heard of some users who use both by also speaking into a phone and into their comptuter mic, then when someone asks a question, they repeat the question to all.

Help » How can Vyew be used as a Review/Approval tool?

How can Vyew be used as a Review/Approval tool?

You can think of Vyew collaboration as red-lining a printed page, except in an online meeting.
Uploaded files such as word docs, autocad images, jpegs, etc cannot be edited directly,
only drawn OVER. You can draw over, write text over, add sticky notes, or add other documents (doc, excel, jpg, png, swf, ppt, pdf, etc).

Collaborators can then alter, delete, or edit previously mark ups.
Other users who can be set as a “reviewer” permission level,
they can only add/alter their own markups, not anyone elses.

Once a collaboration session has come to a conclusion, the owner of the document
then takes the notes into consideration, and edits the original document on his/her own computer,
then re-uploads to vyew for the next round of revisions/approvals.

Aside from technological complexities of varying document formats, in most cases, allowing a multitude of people to edit
an original document online quickly becomes chaotic. We have thought about adding this feature, but it remains on the back burner.
In our view, the most efficient way to review is to allow people to mark over the document, and not edit it directly.

Can you import 3D or autocad files into Vyew?

You cannot upload 3D or autocad files directly, but the best way to get them in
is to use the built-in screen capture tool. Without an installation you can instantly capture
and import whatever is on your screen into your VyewBook meeting with 2 clicks.

The screen capture tool is located along the top toolbar panel once you enter a VyewBook.

Help » Error loading page - Delete page?

Error loading page - Delete page?

This error occurs for 2 different reaons:

  • If some content on that page has crashed or caused an infinite loop in the browser, you may need to delete the page and re-create it.  This may occur if there is a bug in some outside flash content you have loaded, or a bug in one of our plugins.
  • If, the last time you opened this VyewBook, you closed your browser while a page was still in the middle of loading, Vyew may think that the page crashed, when it really didn’t. If this is the case, try continueing on. If the browser does crash, then reload the page, and Delete It.
Recommended Solution:

Try Continueing and make a note of which page you got that error on. If your browser becomse slow or unresponsive, refresh, and next time you see that error, Delete the Page. If you have super important information on that page that you must recover, please contact support for help.

Help » How to conduct a webinar

    How to conduct a webinar

I noticed there was a lack of info about Webinars, here is a first hack at it. Send me comments below if you need clarification/questions.

    Conferencing/Webinars vs. Collaboration
    • Web Conferences, Webinars, and Web Meetings, usually consist of one or a few people moderating or presenting to 5, 10 or hundreds of people (See participant limit below)
    • Collaboration on the other hand, is more of a collective effort to create or edit content. Collaboration can take place in live in real-time, or over time, at each users convenience.
    Conferencing and Collaboration in Vyew
    • Vyew provides features for both types of meetings (conferencing and collaboration). We sometimes refer to this as Synchronous (at the same time) and Asynchronous (anytime)
    • Vyew provides multi-format uploads, whiteboarding, desktop sharing, screen capture, Voice-Over-IP, Video, and Teleconferencing. (Full Feature List)
    • Participant limits: Free registered users have a limit of 20 people, the highest paid account has a limit of 100 people. (Pricing/Limit page)
    The VyewBook
A VyewBook is where meetings take place. It holds content (powerpoints, images, drawings, video, audio, pdfs, etc), and stores all content indefinitely, until a user deletes it. Each VyewBook has its own unique URL; if you give someone that URL they are automatically brought into the VyewBook (You can control their user permissions).
    Preparing for a Webinar
    • Create a VyewBook and upload content into it
    • You can re-arrange pages of your content, such that an image can be loaded onto one of your powerpoints, or a word doc can be inserted between pages of a pdf
Send out Invitations (or the URL link)
    • Invitations: Vyew provides an Invitation Manager so you can invite people specifically and manage what rights they have when they come in. (Click "Invite People" in the UserList pod)
    • Emailing a direct link: Each VyewBook has its own URL. If you go into a VyewBook, copy that URL, and email it out to as many people as you want. Depending on the VyewBook Access Control settings, people without invitations may now enter your Vyewbook.
    • When emailing a VyewBook Link:
      1. VyewBook Access Control settings -- If you want people to come into it without invitations, set the Access Control to: "Open to Anyone" (Set access control in the UserList pod, or Book Menu / VyewBook Settings
      2. Default User Type -- When people come in that are not invited, they're usertype, which determines what they can and can't do, can be set to a Viewer (can only look), Reviewer (can only add content, not delete), Collaborator (can add and delete content), or Moderator (Can do everything, including change other people's rights).

Help » Using the Equation Editor (Math Symbols)

Using the Equation Editor (Math Symbols)

The equation editor allows you to easily build nice-looking mathematical equations. It is designed to work very similarly to the Equation Editor in Microsoft Office 2007, so if you’ve used that, this should be simple to understand. Note that it does not actually do any calculations, it is purely for display only.

The Equation Editor is a plug-in. To open it, in a VyewBook, goto the EDIT menu > Insert Plug-in (or use the Plugin shortcut along the top toolbar that looks like a puzzle-piece icon).

    1. Click the ‘Pencil’ icon to edit
    2. The buttons across the top open different symbol palettes
    3. Click on a symbol to add that symbol to your current equation
    4. You can also type on your keyboard to add to your equation
    5. Blue rectangles are placeholders. Click on them, and then add symbols by typing or selecting symbols from the toolbar
    6. You can select a portion of your equation and then use the buttons across the botton to Copy, Cut, or Paste.
    7. IMPORTANT: You MUST click ‘SAVE’ or your equation will not be saved! Also, nobody else can see what you’ve entered until you save it.

When you are done editing, either click ‘HIDE’ or click the red X, to hide the editor, and only display the equation.

What does each user permission level mean?

What each user permission level is allowed to do:
    image

    Owners
There is only one owner per VyewBook, they can do everything including set the rights of other users. (Owner may also be known as “Creator")

    Moderator
A moderator is like an owner, except they cannot change the VyewBook settings of the book, such as, the Access Control settings of a VyewBook.
They can also edit/delete other peoples drawings and content, which a collaborator cannot do.

    Collaborator
A collaborator can draw, edit, and delete their own content only. They cannot delete pages. They can also set the Sync Mode of a VyewBook. They cannot change the permissions of other users like a Moderator can.
A collaborator is also sometimes called a “Presenter”.

    Reviewer
A Reviewer is a special case user that be set when inviting someone. If someone is set as a Reviewer, they can only markup a VyewBook and delete their own drawings/comments but cannot import content, delete pages, or delete other peoples content. The difference between a Reviewer and Collaborator is a Collaborator can import content such as images, docs, pdfs, etc.

    Viewer
A Viewer can only see a VyewBook and can draw nothing. If a VyewBook is in SYNC mode, a viewer cannot even navigate within the VyewBook. If a VyewBook is in UN-SYNC MODE a Viewer CAN navigate pages.

Help » How do I keep people on the same page in a VyewBook meeting?

How do I keep people on the same page in a VyewBook meeting?

    Use SYNC Mode

When you change pages in a VyewBook, you can force everyone to follow you by turning on SYNC MODE.

How do I turn on SYNC Mode?

The SYNC button is to the left of the Page Navigation bar, along the top bar of the VyewBook interface.

What else does SYNC Mode do?

When SYNC mode is “ON”, the following things are synchronized:

    • Changing pages
    • Play/Stop/Pause of Video and Audio(Mp3)
    • Zooming and Scrolling (If the Zoom/Scroll sync option is checked in the SYNC button menu)

How does SYNC Mode affect “Viewer” usertypes?

When SYNC Mode is ON, Viewers cannot navigate pages at all. They are bound to follow you around from page to page.

When SYNC Mode is OFF, Viewers CAN navigate pages wherever you want.

    Why is it like this?

When you are giving a presentation, we expect you to have SYNC Mode ON, so that everyone will follow you from page to page.

When you are using Vyew for reviewing of a document or some other type of “asynchronous” activity in which viewers may be in your VyewBook without you present, then it is ideal that they should be able to browse your VyewBook as they wish.  To allow this, turn SYNC Mode OFF.

How to keep users from distracting the meeting

If you have a large meeting, where users might be inclined to distract the meeting by drawing or playing with other features, it is recommended that you demote everyone to a “Viewer”.
The viewer role, can only watch and chat. Also viewer’s do not broadcast their mouse cursor to the meeting, like collaborators, moderators and owners do. This will help minimize distractions during the meeting.

    To make users “viewers”

There is a drop-down options menu in the USERLIST pod, in the lower right corner. It is a wrench icon. Click that, then select “Demote all to viewers”.

If you are using the “Open to Anyone” access control, you should set the “Default usertype” to “viewer” in the VyewBook Access Control settings.

Besides inviting them, you can also email people yourself with the URL of the VyewBook meeting.
When you enter into a VyewBook, look at the browser URL address bar. The url would look something like this:

    http://vyew.com/room#/12345/yourVyewBookName

For simplicity, this url is exactly the same as this one:

(You can eliminate the “room#” part, when emailing)

    Important

Your access control must be setup correctly for this to work

    Access Control

Each VyewBook meeting has its own “Access Control” settings which are accessable in the UserList, or in the
“BOOK menu > VYEWBOOK SETTINGS” area.

In order to allow users to come in directly to a VyewBook without being invited, set the “VyewBook Access” to “Open to Anyone”.
To be safe, however, you should also set “Default Usertype” to “Viewer”.  This is the lowest permission group.

A question has been asked by our customer:

Is content associated with a single collaborative session or environment? ie. How would this environment support a central repository of content (the pages in book) that would be used by a number of differnt sessions?

Content is currently assocated with a single Vyewbook (meeting/session) only. We have a corporate account package
which is in development now, which would allow a central repository of content that could be shared with other users in your organization.
Users who have access to this content will be able to make duplicates, edit or markup and store it for themselves.

This will be available around the end of July 2008.  Please contact us, if you are interested.

We currently have a max page count per VyewBook / Meeting of 300.
Although thousands of pages is a possibility in the future, the original system
was not designed with that in mind. You would need to break up your content

Any webcam issues are usually between your Webcam and your Operating System, or The Webcam and Flash itself.
Using the Webcam on a Mac is slightly more problematic because when choosing the webcam device from Flash, it may show up to 3 other devices, such as USB and Firewire devices.

    To use the webcam:
    1. Login to a VyewBook Meeting

    2. Click on the webcam icon in the upper right (to the left of the “Push To Talk” button)

    3. If you see a RED “X” through the “Push to Talk” button then you are not connected to our Webcam Server. Please issue a bug report for that problem.

    4. If this is your first time, a Flash Player Settings window will popup. Click ALLOW then CLOSE.
    5. You should then see your webcam broadcasting your own image.
    6. If you don’t, click the webcam icon again, to STOP, then again to START.
If you are using a Macintosh:

    •  When the Flash Player Settings box appears, you may have to choose the correct webcam device.
    • Try the one that matches your device, if you’re not sure, try each one.

Help » A “Viewer” in my meeting has no magnifying glass, can’t see the whole screen

A “Viewer” in my meeting has no magnifying glass, can’t see the whole screen

Some users have reported that while in SYNC MODE, their “Viewers” on small screens (laptops) cannot see the whole VyewBook page, and have no magnifying glass to zoom out.

This is the situation: When a user is a “viewer” and SYNC mode is ON, we take away the magnifying glass, so they cannot disrupt the the meeting (by changing zoom), since while in SYNC MODE all users are supposed to see the exact same thing. There is a bug in Vyew: sometimes a VyewBook page initially does not sync its zoom value to other users.

Until we fix this, the solution is that the owner or moderater should go to their Magnifying Glass menu and click “ZOOM RESET” (which is the 4th icon down).
This will force a SYNC event accross all your members and they then, should see exactly what you see.

How do I control who has access to my VyewBooks?

In the Userlist there is a Access Control toggle with an icon that looks like a padlock. Click on this to set the general Access Control setting for the VyewBook:

Invites Only - Default VyewBooks are secure-by-default, set the "Invites Only" when created. When set to this, only the persons you invite via Invite People will have access to the VyewBook.
Open to Anyone To let everyone access your VyewBook anytime, you can set it to "Open to Anyone" which will effectively leave your VyewBook unlocked. Unlocking your VyewBook by leaving it set to "Open to Anyone" will give even non-invited "Guests" access to your VyewBook when they navigate to the VyewBook's URL. (See "Guests" below)
Owner Only VyewBooks set to "Owner Only" can only be accessed by the owner - the person who created the VyewBook.
NOTE: If you invite people to a VyewBook then change the Access Control setting to "Owner Only", those invites will not be let in and will be referred to your Public Lobby (see below).

Owners and persons granted "Moderator" status can let persons navigate pages at their own pace, if desired, via the Page Sync/Un-sync options next to the Page Navigation:

Owners and Moderators can also just un-sync themselves. For example, a Moderator might want to jump ahead to edit a page prior to discussion during a live conference.

NOTE: VyewBooks are set to Un-sync Mode by default. During live conferences, the Owner or Moderator needs to toggle to Sync Mode to make all persons see what they see. When the live conference concludes, and the Owner and all Moderators have left the session, the VyewBook will default back to Un-sync Mode automatically. To change the default to Sync Mode, select "Default this VyewBook to Sync Mode" via the Sync Toggle.

    Changed Features

*Sync Modes Changed: Previously, after you exited a VyewBook, it would default to either Sync or Un-Sync mode, based on your settings. This confused some users. There are now 3 options. After exiting a VyewBook, the Sync Mode can be left as is, or switched to either Sync or Un-Sync. The default is that the VyewBook is left as is. *Desktop Sharing Tab is always synced: Previously, clicking on the Desktop Sharing tab only brought all users to Desktop Sharing IF the VyewBook was in Sync Mode. Vyew 2.0 (v2) Release Notes Summary (October 2006):

*Multiple VyewBooks per User: Registered Users can now create, name and save multiple VyewBooks. VyewBooks are easy to organize (for example, by project or customer), can be switched on-demand during sessions, and can be set to be "always on" for users to edit over time, anytime. *Object Layering: Vyew 2.0 features a new layer-based architecture where user-created or uploaded objects (including pages from Microsoft Office and Adobe PDF files, images, and whiteboard annotations) are treated as individual object layers. Much like Microsoft PowerPoint, Vyew's object layering gives users the ability to easily scale and move objects, bring them forward or send them backward, as well as copy and paste between pages and VyewBooks. *Object Filtering: Vyew 2.0 includes two new object filtering options that give users the ability to track and selectively display objects by name or user. For example, VyewBook creators can share a presentation for commenting or editing, and easily go back and sort who added what. *Desktop Sharing and Screen Capture now for Mac: Vyew 2.0 includes new desktop sharing and screen capture functions, with added availability for Mac users using Safari. Users can take static screenshots or stream live what's showing on their desktop. *Improved Multi-Page Document Importing: MS Office and PDF documents are now broken up into pages when imported into Vyew, allowing the user to easily import every page of the document as a new page in the VyewBook. *Enhanced Page Navigator - Lets users quickly navigate and re-order the pages in a VyewBook. *And More: Vyew 2.0 includes faster file importing and several usability enhancements.

Vyew (pronounced 'view') was born of a vision to merge virtual space with human interaction, empowering users to communicate and collaborate with each other remotely. Through Vyew, you can "Share Your View". The Y in Vyew is representative of "Your". Of course, the name "Vyew" is also unique, short and easy to remember.

Help » Can I hyperlink within my VyewBook?

Can I hyperlink within my VyewBook?

YES! This is achieved via the "VyewScript" Button. With a Button, users can easily make any object hyperlink to another location - to different pages within the VyewBook, to another VyewBook, or to an external Web page (in the same window or a new window). Users can also add a script to open a "mailto:" email client or add pop-up messages that open when the object is double-clicked.

The VyewScript Button is located in the Plug-In menu, which is the "puzzle piece" icon along the top toolbar within your VyewBook.

Help » What is the maximum file size that can be uploaded?

What is the maximum file size that can be uploaded?

File sizes are currently capped at 30MB.

Another issue to be concerned with is the complexity of any Powerpoints you upload. If you use a lot of graphics (fades especially), it may take more time to upload, and may sometimes fail if the graphics are very complex.

    What is a “VyewBook”?

VyewBook = Meeting Room = Work space
A "VyewBook" is a collection of pages created and saved together in Vyew for collaborating on during LIVE conferences and asynchronously over time, ANYTIME.
VyewBooks give users the ability to easily author new content and collaborate on almost any file, including Microsoft Office, Adobe PDF and image files. You can create and save multiple VyewBooks at a time - saving content by topic, audience or version - and invite specific persons to specific VyewBooks. VyewBooks can be switched on-demand during LIVE conferences or left unlocked for collaborators to review or add to over time, ANYTIME.

Please watch the Getting Started Demo for an introduction to Vyew and VyewBooks.

Help » How do I use Vyew’s FREE conference call service?

How do I use Vyew’s FREE conference call service?

Vyew's FREE conference call service is a great way to bring all of your collaborators and participants together via telephone for live conferences. Simply click on the Free Conference Call button to display that VyewBook's call-in number to everyone that is logged-in:

NOTE: Vyew's conference call service is provided via a partnership with FreeConference.com. There are no per minute charges, however, long-distance charges may apply (since it is not a toll-free 800 number)

    800 Number?
Some users have asked about a a toll free 800 number. Vyew does not supply this service, although, you may find another 800 conference call number yourself and link that number to the VyewBook meeting by going into Account Settings in the VyewBook, and click EDIT next to the Conference Call option. This will allow you to input your own conference call number that will be displayed in the VyewBook meeting room.

    An alternative to Conference Calling:
If you only have a few people in the room, and you all have PC Speakers/Microphone, you can use the Built-in VOIP "Push To Talk" feature. Click the "Push To Talk" button in the upper right corner of the screen to broadcast your voice/video to others.

Help » What is a “Guest”?

    What is a “Guest”?

"Guests" are persons that have not been explicitly invited to your VyewBook. Vyew allows "Guests" to access VyewBooks that have been set to "Open to Anyone", facilitating ad-hoc collaboration: Simply provide any person a direct URL to your VyewBook to join your session.
"Guests" are granted "Viewer" status by default. They can navigate pages if the VyewBook is set to Unsynch Mode, otherwise they will only be able to follow the actions of an Owner, Moderator or Collaborator. Viewers can also text-chat, regardless of Synch Mode status.
To change the default Permission Status of "Guests", change the "Default User Type" found under the Userlist Options Menu:
